Privacy statement from TopTaal

Every day we strive to improve the language skills of as many people as possible. We do this with our course offering. We need personal information for that. We don't just collect this. After all, it is all about your privacy, and in our opinion there should be no uncertainty about this. Below you will find our privacy principles and what you should at least know about what we do with your data.

Register for a course

Nice! You want to follow a course at TopTaal. Here you can read what information we need from you and what we do with it.

Contact details

If you want to follow a course with us, call us or fill in the online registration form.

We collect data so that we can contact you: your name, telephone number and e-mail address. We want to help you well. We therefore also ask which course you are interested in. And we ask at which location you want to have lessons.

We link your name to your file. That is why we keep your name 50 year or up to 5 year after cancellation of TopTaal. We will keep your e-mail address and telephone number with us until 7 years after the end of your last course. This way we can contact you if we can offer you a course. Or if we still want to share information about your course with you.

If you do not follow an intake or course after our contact, we will delete your data directly from our system.

I am doing an integration course

You want to do an integration course at TopTaal. Or you are already following an integration course with us. Here you can read what information we need from you and what we do with it.

Contact details

We collect data so that we can contact you:

  • Name
  • Sex
  • Address
  • Telephone number
  • Email

Does DUO pay for your course? Then we share your contact details with DUO. Your teacher will only receive your name, e-mail address and telephone number.

'Blik op Werk' will also receive your name, e-mail address and telephone number. Blik op Werk checks whether TopTaal delivers quality. That is why Blik op Werk carries out a satisfaction survey. The Panteia company does the research. That is why TopTaal shares your data with Panteia.

We link your name to your file. That is why we keep your name 50 year or up to 5 year after cancellation of TopTaal. We will keep your e-mail address and telephone number with us until 7 years after the end of your last course. This way we can contact you if we can offer you a follow-up course. Or if we still want to share information about your course with you.

Payment details

If you pay for the course yourself, your bank details need:

  • Your bank account number
  • In which name the bank account is registered
  • Billing Address

We are obliged to keep the invoices 7 year. That is why we can see your payment details, up to 7 years after sending the last invoice.

DUO

Does DUO pay for your course? Then we collect the following data:

  • Date of Birth
  • Country of birth
  • Birthplace
  • Date in the Netherlands
  • Information about your integration obligation: start date and end date
  • BSN

We share this information with DUO. They need this information to be able to pay for you. We save this information until 7 years after the end of your last course with us. Sometimes we still share information with DUO about you and your course. We only share information if this is necessary.

Intake

TopTaal would like to get to know you better. Then we can place you in a course that suits you best. That is why we collect information about you:

  • Nationality
  • Country of origin
  • Date of Birth
  • Date in the Netherlands
  • Information about your integration obligation: start date and end date
  • Mother tongue and other languages ​​that you speak
  • Your experience with the Dutch language
  • School experience
  • Work experience
  • Preferred location for the lessons

We also share this information with your teacher. That way the teacher knows what your experience is. We save this information until 7 years after the end of your last course with us. If you want to take another course with us in those 7 years, we already know who you are.

Presence

To successfully complete a course, it is important that you attend each lesson. We collect data in which lesson you are present and in which lesson you are not present. Each lesson you also put your signature as proof that you have followed the lesson. DUO also wants to know when you are present in class. In this way DUO knows how many hours you have already attended. That is why we share your presentation data with DUO. We save your attendance until 10 years after the end of your last course. Sometimes you need proof of your attendance (time statement) after the end of your course. That is why you can request your attendance from us until 10 years after the end of your last course.

Keys and certificates

TopTaal wants to place you in a course that fits your Dutch language level. That is why we conduct tests at the intake. We save the test result and the tests made. We take a test at the end of each course. We save the test result and the tests. This way we know what your final level is and we can offer you another course. You can also request your test data or exam data from us. We store all tests and test results for up to 50 years after your last course with us, or until 5 years after the termination of TopTaal. We share your test results with the teacher. That way your teacher will know what your language level is.

Photo

Sometimes we take a photo, for example of a lesson or of a certificate presentation. We only take that photo if you give permission. To do this, you put your signature on a consent form. This way we know for sure that you give permission. We use the photo for marketing purposes. For example, we post it on Facebook or LinkedIn or on our website. Or we use the photo for internal communication. You can always withdraw your permission or have your photo removed from the internet and from our records.

My municipality pays for my course

You want to follow a language course at TopTaal through the municipality. Or you can do a course with us through the municipality. Here you can read what information we need from you and what we do with it.

Township

The municipality will register you for a course with us. That is why the municipality shares your data with us:

  • Name
  • Sex
  • Date of Birth
  • Address
  • Telephone number
  • Email Address
  • Customer Manager Name
  • File number at the municipality
  • Global language level
  • Highest level of education

We use this information to contact you. We also share information about your course with your client manager or other contact person at the municipality. We need your file number for that. We use the information about your language level and education level to determine which course suits you best. We only share your name, e-mail address and telephone number with your teacher. We link your name to your file. That is why we keep your name 50 year or up to 5 year after cancellation of TopTaal. We send the invoices for the course to the municipality. We will put your file number on it. We are obliged to keep invoices 7 for years. That is why we can see your file number up to 7 years after sending the last invoice. We keep the other data with us until 7 years after the end of your last course. This way we can contact you if we can offer you a course. Or if we still want to share information about your course with you.

TopTaal wants to place you in a course that fits your Dutch language level. That is why we conduct tests at the intake. We share the test result and the tests taken with your teacher. That way your teacher will know what your language level is. At the end of each course we take a final test or an exam. We share your test results with the municipality. They need this information to know whether you have passed the course. If you take a final test, TopTaal saves the test result and the tests. This way we know what your final level is and we can offer you another course. You can also request your test data from us. If you have taken an official exam, we save the 50 year exam (or until 5 year after cancellation of TopTaal) as proof that you have passed the course. We know what your final level is and we can still offer you a course. You can also request your exam data from us at 50 for years. If you pass the diploma, you will receive a diploma. This shows the exam results. Your name, date of birth and place of birth are also stated on the diploma. We store all tests and test results for up to 50 years after your last course with us, or until 5 years after the termination of TopTaal. We keep your diploma or certificate for 50 year (or until 5 year after cancellation of TopTaal). If you have lost your diploma or certificate, you can request a new one from us. This costs money.

Reports

During a course we collect information about your language development. We write reports about it. We write a report halfway through the course and write another report at the end of the course. The report states how often you are present in class and what you have achieved in the course. We share this report with the municipality. We save your report until 7 years after the end of your last course with us. You can request your reports in that 7 year from us. If you are going to follow a new course with us, we already know what level you have reached.

Photo

I have lessons at TopTaal in the Company

You want to do a course with us through your employer or your employment mediator. Or you are already taking a course at TopTaal in the Company. Here you can read what information we need from you and what we do with it.

Client

Your client pays for your course. This is for example your employer or your employment mediator. Your client shares your name, position and work location with us.

Sometimes your client receives a subsidy for your course. The grant provider needs information to be able to give the grant to your client. That is why your client sometimes also shares other information with us. Your client only shares data with us that is necessary to receive the subsidy.

Data that we need to apply for a grant include:

  • Name
  • Date service
  • Date of Birth

We only share the data with the grant provider if this is necessary.

We link your name to your file. That is why we keep your name 50 year or up to 5 year after cancellation of TopTaal.
We keep your position, work location and date of employment with us until 7 years after the end of your last course with us. If you want to take another course with us in those 7 years, we already know who you are. Sometimes we still share information with your client about you and your course. We only share information if this is necessary.
If the grant provider still needs information, we can share this with him until 7 years after the end of your last course.

We send the invoices for the course to the client. Sometimes the client wants us to put your wage number on the invoice. Your client shares your wage number with us. We are obliged to keep invoices 7 for years. That is why we can see your wage number up to 7 years after sending the last invoice.

What do we do with your data?

We register your data in our student tracking system. This is a secure system that only our own employees have access to. Your data can only be viewed by the system administrators and by the teams that work for you.

During the intake, the intake teacher collects all the information that we need. He puts your data in our system immediately.

In the privacy statement on our website you can read how long we keep your data. If the retention period ends, we will automatically delete your data from our system. This way we know for sure that we will not keep your data longer than necessary.

Legal basis

On what basis do we collect your data? We collect your data based on the legal basis 'agreement'. This means that we need your information in order to execute our agreement. Without your details, we cannot conduct an intake, we cannot offer a suitable course, nor can you keep track of your study progress.

Sometimes we are required to collect and share data with the DUO, the tax authorities or the municipality. Then we collect this data on the legal basis 'legal obligation'.

If we want to collect data that we do not need for the legal basis 'agreement' or 'legal obligation', we will always ask for your permission.

With whom do we share data?

In the privacy statement for integration courses, municipal courses and company training, you can read with whom we share your information.

Sometimes other organizations ask us to share data. If there is a legal obligation or a legitimate interest, we will share your information with a third party. Do you not want us to share data with other parties? Then you can object to the Data Protection Officer. Unfortunately, if we are required by law to share your data, we cannot confirm your objection.

Sometimes we do not have a course that matches your level. Then we share your intake with another language provider. We always request written permission for this.

What happens if you do not share your data with us?

If you do not want to share your data with us, we will respect that. Unfortunately, we cannot make a suitable course offer to you and we cannot guarantee the quality of our lessons. We also cannot meet the obligations that we have for clients and grant providers.
You cannot then participate in a language course at TopTaal.

View, change or delete data

Do you want to see your data in our system? Contact your contact person at TopTaal.

Do you want to change your data in our system? Contact your contact person at TopTaal.

Do you want a copy of the data that we collect from you? Contact our Data Protection Officer.

Do you want to delete your data from our system? Contact our Data Protection Officer. You ask in a letter or in an email to delete your data. The Data Protection Officer assesses whether your data can be removed from our system. If this is possible, the Data Protection Officer will delete your data within one month.
We cannot delete your data if:

  • You follow another course with us;
  • You have not yet paid all invoices;
  • You have had problems with your behavior at one of our lesson locations or with one of our students, teachers or employees.

Do you want to withdraw your consent to share data with other organizations? We will then stop sharing your data. Data that we have already shared with the other organization will remain with the other organization. They will no longer receive any new data from us.
You contact the Data Protection Officer. You write in a letter or in an email to the Data Protection Officer that you are withdrawing your consent to share your data. The Data Protection Officer will stop sharing your data with the other organization within a month.

Do you want to withdraw your permission to use your photo? We will still save your photo. Your photo remains on the internet or in brochures or other publications. But we no longer use your photo for new publications.
You contact the Data Protection Officer. You write in a letter or in an email to the Data Protection Officer that you are withdrawing the permission to use your photo. The Data Protection Officer will freeze your photo within a month.

You can object to the processing of your data with us. You can do this by contacting the Data Protection Officer. She will assess within one month whether your objection can be honored. We will not use your data during this period.

With us you can limit the processing of your data. We will still retain the data that we have, but we will no longer use your data. You can do this by contacting the Data Protection Officer.

Complaint

Are you unable to view, change or delete your data with us? Then you can submit a complaint to the Dutch Data Protection Authority: www.autoriteit Individual data.nl

We collect data to make contact:

If you decide to purchase a service from us, we will ask you for your billing information. We store this in our system. We collect this data to carry out our agreement. We are legally obliged to keep invoices 7 for years. Then we delete the invoices and therefore also your billing information.

Photo

Sometimes we take a picture of a lesson situation or certificate issue. We always first ask permission from you and your organization. You can always withdraw your consent from our Data Protection Officer (see 'Want to know more?').
